Shuffle Summer Camp Refund Policy

At Shuffle Summer Camp, organizing the event requires substantial advance commitments, including venue deposits, accommodation reservations, instructor flights, food planning, transportation, staffing, and operational expenses. Because many of these costs are committed months before the event begins, all ticket purchases are subject to the following refund policy.

By purchasing a ticket, you acknowledge and agree to the terms below.


1. General Policy

All ticket sales are final except as outlined in this policy.

A €150 non-refundable administrative and operational deposit is included in every ticket purchase and applies to all registrations.

This amount covers, among other things:

  • Payment processing fees
  • Administrative costs
  • Venue reservation commitments
  • Accommodation planning
  • Instructor and production expenses
  • Event logistics already incurred

This deposit is non-refundable except in the event of organizer cancellation as outlined below.


2. Participant Cancellations

Cancellation 60 days or more before the event

If you cancel 60 days or more before the first day of camp, you may receive a refund of payments made minus the €150 non-refundable deposit.

Refunds will be processed to the original payment method within a reasonable processing period.


Cancellation within 60 days of the event

If you cancel 60 days or less before the event start date:

  • No refunds will be issued.

At this stage, the majority of event costs have already been committed and your place has been reserved specifically for you.

However, depending on availability and approval, you may request one of the following alternatives:

Ticket Transfer

You may transfer your ticket to another participant (subject to organizer approval).

Transfers:

  • Must be requested in writing
  • Must be approved by organizers
  • Must be completed at least 30 days before camp begins

Cancellation after the event begins

If a participant leaves, withdraws or does not attend part of the event after the camp has started:

  • No full or partial refunds will be issued.

3. Medical Emergency / Serious Illness Exception

If a participant cannot attend due to hospitalization or serious illness:

  • Cash refunds will not be issued.
  • A credit voucher for the amount paid may be granted.

Voucher conditions:

  • Valid for one year from issue date
  • Applicable toward a future Shuffle Summer Camp edition
  • Subject to availability
  • Non-transferable unless approved otherwise

A valid medical certificate may be required.


4. Payment Plans

For tickets purchased through installment or payment plans:

  • All payments made are subject to this refund policy.
  • The non-refundable €150 deposit still applies.
  • Missed installments do not automatically cancel a reservation unless agreed in writing.
  • Approved refunds (when applicable) will be calculated according to amounts already paid, less the non-refundable deposit.

5. Ticket Transfers

If you can no longer attend, transferring your ticket may be possible.

Transfer requests must:

  • Be submitted by email
  • Include the replacement participant’s full details
  • Be requested at least 30 days before the event
  • Be approved by Shuffle Summer Camp

Organizers reserve the right to refuse transfers if operationally necessary.


6. Chargebacks & Payment Disputes

By purchasing a ticket, participants agree to contact Shuffle Summer Camp first to resolve any issue before initiating a payment dispute or chargeback.

Initiating a chargeback without attempting resolution may result in:

  • Cancellation of your registration
  • Loss of event access
  • Formal challenge of the dispute using purchase records, policy acceptance, and supporting documentation

This policy forms part of the purchase agreement.


7. Event Cancellation by Organizer

In the unlikely event Shuffle Summer Camp is cancelled by organizers due to force majeure, safety reasons, or circumstances beyond our control, participants will be offered:

  • Transfer of the ticket to a future edition
    or
  • Refund excluding unrecoverable third-party costs where applicable.

Force majeure may include, but is not limited to:

  • Natural disasters
  • Government restrictions
  • Pandemic-related measures
  • War or civil emergencies
  • Venue closures outside organizer control

8. No-Show Policy

Failure to attend the event without prior written cancellation (“no-show”) does not entitle the participant to any refund or credit.


9. How to Request Cancellation

10. Acceptance of Policy

By purchasing a ticket for Shuffle Summer Camp, you acknowledge that you have read, understood, and agreed to this Refund Policy and all related Terms & Conditions.
